Submit Your Event!

Volunteer Opportunity: Help us coordinate our Community Events Calendar by becoming a volunteer today.

Support for Community Events

We provide support for community events in three ways:

  • Our free Community Events Calendar. Our hosts read from this when giving event updates on the air.

  • In-kind advertising for tickets/festival passes.

  • Free advertising to VIU campus clubs and course unions.

Community Events Calendar

Many of our hosts give community event updates on their programs, picking and choosing from events submitted by our listeners.

When submitting an event using the form, please include a live read script for our hosts to work from on air with all the required information in the script i.e., Who/What/Where/When/Why. This can be submitted in point form or in a 25-27-second live-read script.

Script Example:

The White Room welcomes Juno award-winning instrumentalist Gord Grdina, back to Nanimo Tuesday, July 16th to celebrate his record release on Nanaimo’s own Black Dot Records. Special guests Orchestra Criminal from Montreal. Doors at 8:00 PM. Admission prices, only $15 and available to the door. And it's at #4 Church Street upstairs at the White Room.

This is a voicemail recording of the above live read.

In-kind advertising for Tickets/Festival Passes

✅ We highly encourage you to offer 1-2 pairs of tickets for your event or a few festival passes. These tickets or passes are given away to our supporters and listeners, which assists in keeping CHLY financially sustainable through their support.

In trade for $60 of tickets, CHLY will provide $60 of advertising in-kind at our non-profit rate for 30-second ads. This works out to 7 ads priced at $8.50/30s ad.

If you are interested in a larger advertising campaign for your event, a portion of your campaign can be made up of in-kind advertising in trade for tickets/festival passes. Inquire here about advertising campaigns for events.

Event advertising for Campus Clubs / Course Unions

Campus clubs and course unions at the Nanaimo campus of VIU can access 56 30-second ads per semester to promote their events ($428 in value). This credit must be used within the semester and does not roll over into the next semester.

Record an event advertisement in your own voice

Only available for those trading tickets!

This is probably the easiest way to get your audio recorded for airplay. If you don’t have a smartphone with a voice memo app, call our on-air listener line at 250.740.1017 and leave a message on our answering machine. Just remember, you need to nail it, so practice first!

Your recording needs to be 25 to 27 seconds long and needs to include/consider the following:

  • IMPORTANT: Write a script of what you want to say, and read it through several times. Rewrite where necessary

  • Who/what/where/when/why the event is.

  • How much the event is, and where to get tickets.

Nail your recording:

Joe Pugh demos how to hold your phone to get a better recording for a voice memo.

  • Work from a script of 34-38 words to hit your 25 to 27-second length.

  • Do multiple reads before you record your voice memo, or phone our answering machine.

  • Read one sentence at a time. Keep the sentences short (you are less likely to stumble!)

  • Record it in your closet for the best sound! This will reduce background noise and echo or reverb in large open rooms.

  • Hold the phone at approximately 45° in front of your face as you record.

  • Using the form on this page, you can record and upload multiple recordings for us to splice together. Just make sure you provide the script you read from!

  • We recommend NOT using headphones while you record. Many headphones have mics that will override the mic on your phone if plugged in.

Record your own promo in our studio

You can also record your audio in the studio. Email admin@chly.ca or call 250.716.3410 to schedule a time to come into the station to record a higher-quality promo. Please come with a script in hand!

Events policy

CHLY reserves the right to pull submitted events from its community calendar that promote racism, homophobia, sexism, or violent action (or rhetoric) against vulnerable groups.

You can view events already in our on-air system by clicking here. Some events are prioritized based on timeliness and partnerships CHLY may have with those organizers or venues.
