Committees in our Organization

Our organization has two types of committees: Standing Committees and Special Committees.

Standing Committees

Standing Committees are established to serve an ongoing function in our organization throughout the year. This includes committees related to governance, development, finance, personnel, nominations, etc. In between board meetings, they get important work done.

These committees are created by the board of directors. If necessary, they can fold committees together where appropriate, or dissolve committees that are no longer necessary. As these committees are not typically dissolved and ongoing year to year between different boards, directors and members are typically appointed to these committees until the next Annual General Meeting.

Special Committees

Also known as ad-hoc committees, Special Committees are stuck for short term tasks not covered by an existing standing committee. These committees can be formed by the board of directors, and by assemblies of members at general meetings. 

This includes committees like a Credentials Committee at a general meeting and a Ballotting Committee at Annual General Meeting.

Committee Composition

All standing committees must have at least three voting members, and no more than seven voting members. This can consist of at least two board members, the Executive Director, as well as additional Committee members from the organization’s staff, volunteers, and broader student and community membership.

Beyond the seven voting member cap, committees may also have nonvoting members to help assist in the work of the committee.

The following Standing Committees currently exist within our organization:

Governance Committee

This committee is responsible for reviewing and updating our constitution, existing bylaws, drafting new bylaws, and creating, reviewing, and updating station policy. This committee meets throughout the year, but especially in the lead-up to the Annual General Meeting (AGM) or a Special General Meeting (SGM) if there are changes to the Constitution or Bylaw to be made via Special Resolution.

Voting members currently include: Jack Corfield, Laura Schramm, Robbie Thompson and Jesse Woodward.

There are currently no non-voting members on this committee.

Three more voting members may join this committee.

Personnel Committee

This committee is responsible for the hiring of senior staff members (ie, long-term staff) and supporting, when required, the Executive Director in hiring short term staff. They are also noted in personnel related policy and have tasks related to those policies in the areas of harassment and violence prevention, and workplace safety for both staff and volunteers.

Voting Members currently include: Laura Schramm, Maggie MacLachlan, and Jesse Woodward.

Non-voting members include: Jack Corfield, and Arbie Fru.

Four more voting members may join this committee.

Program Committee

This committee meets to discuss on-air program proposals, and do program reviews. A priority for this committee is the creation of an annual program review process that needs to be developed.

Voting members currently include: Jack Corfield, Laura Schramm, Robbie Thompson and Jesse Woodward.

Non-voting members include: Jack Corfield, and Arbie Fru.

Three more members may join this committee.

Finance Committee

This committee is primarily responsible for budgeting and financial oversight of the organization. This committee primarily meets from January to April preparing the annual budget and grant budgets, working from a draft budget typically produced by the Executive Director.

Voting Members currently include: Jack Corfield, Benjamin Atai, and Jesse Woodward.

Non-voting members include: Arbie Fru.

Four more members may join this committee.

Nomination Committee

This committee is responsible for seeking out new board members with appropriate organizational skills for the seats open on the board of directors.

Voting Members currently include: Benjamin Ataié, Laura Schramm, Craig Taylor, Maggie MacLachlan, and Jesse Woodward.

Non-voting members include: Jack Corfield.

Four more members may join this committee.

University Relations Committee

The University Relations Committee is responsible for maintaining and improving a positive relationship with the Vancouver Island University, Vancouver Island University Students’ Union, other campus stakeholders, and seeking out an eventual return to campus.

Voting Members currently include: Jack Corfield, Maggie MacLachlan, and Jesse Woodward.

There are currently no non-voting members on this committee.

Four more members may join this committee.

Development + Grants Committee

This committee is responsible for developing funding for the station, be it sales, friends of CHLY, partnerships, memberships, grants or donations. This committee meets on an as-needed basis, but primarily in advance of fundraising events.

Voting Members currently include: Benjamin Ataié, Robbie Thompson, and Jesse Woodward.

Non-voting members include: Jack Corfield.

Four more members may join this committee.

Events Committee

This committee works to organize events for the station, be it tabling at farmers markets, night markets, remotes at local sponsor’s stores, festivals or music shows put on by the station, ie: Anniversary Parties. This committee meets on an as-needed basis, but primarily in advance of larger events.

Voting Members currently include: Laura Schramm, Maggie MacLachlan, and Jesse Woodward.

Non-voting members include: Jack Corfield.
